To give a better user experience and to address our customer requirements we have released a few more enhancements:
Earlier, workflow rules were triggered if records were individually modified. Now, Workflow Rules will also be triggered for records that have been modified using Macros and MassUpdate features.
In Workflow Alerts, you can specify the recipients that include the email address of the record (lead, contact, etc.), record owner, record creator and email address in the parent record. Additionally, now you can also send alerts to the Creator and Owner of the Parent record.
For example: Jack, the Sales Manager owns 5 Accounts. Sales Executives, Ben and Catherine, are assigned a Potential each that will be closing this week. Jack wants to get notified when the deal is won or lost, so he creates a Workflow Rule that will be triggered when the Potential's status is changed. He associates a Workflow Alert to the Rule and adds Account Owner to the recipient's list. That way, he will get an email when the potential associated to account that he owns, is won or lost.
Do try the Workflow Management that is available in the Professional and Enterprise Editions and let us know what else you would like to see in this feature.
Hi I do the same, lots of cold calls. I wanted to create auto reminders to do call backs, but I am only able to create tasks, not events. Tasks are no good to me because I'm not able to set a specific time, I need a specific alert to call back someone at a specific time.
+1 for auto reminders. Whenever I created new leads, I have a 'task' (follow up in 3 days, week, etc) but then have to manually go into that task and create a reminder (I prefer email), which just seems inefficient
I really like that we can trigger work flow rules by Macros and Mass updates. I created a "fire rules" checkbox custom field for all my potentials that I can mass update (check or uncheck) to fire the rules.
I have tried to access the new Alert functionality in Professional & Enterprise edition without success. The recipients drop-down only includes Groups, Roles, Role & Subordinates and Users. The Account and Contact modules are not visible. Is the new functionality deployed yet?
I have tried to recreate the example you illustrated.
I would like to be able to create an alert to a Case creator when a Case is closed by a new record owner. Can the new functionality do this?
This is a really useful, but I believe what can make life easy is if this can be intra modules (Eg: A workflow triggers with a change in Sales module and updates a field in potentials module), will look forward to see more such updates.
