Does anyone know how to share a folder with Zoho Docs? I already share files with a colleague but I want to be able to share a whole folder, not just the files one by one.
When I have the folders listed, it is not possible to select a folder with the check-box in order to share using the "share" button in the header of the folder list.
Any advice appreciated!

Yes, I represent a large non-profit organization with hundreds of users.
We want the ability to lump quite a few starter documents in a folder that is accessible to all new users that sign up and join our organization without having to micromanage their access to each individual document. Since the entire organization is mostly a collaborative organization on several levels, we need a solution that also incorporates easy sharing of documents across the organization between universal groups of collaborators.
Shared folders with permissions based on a groups/users structure would be the only solution to this. We recommend Zoho develop the capability for admins to designate folders that show up in the doc folder lists of all those in the group subscribed to the folder.
I recommend the following design for rights:
All Users>Universal Folders
Users>Groups>Special Folders
This way any document put into the folders are automatically shared with all groups and users that have permission to access it.
And if you could have nested folders following the permission set of the parent folder, that would be a perfect application of this request. Color coding or some sort of separator for the different kinds of folders would be awesome too.
Just like Google Docs, I can't find any folder sharing in Zoho Docs. However, if you use Zoho Project, a person that has permission for a project has permission for the entire filing cabinet of the documents for that project. (And you can have subfolders in that filing cabinet.) With this you then manage user permissions on a per 'project' basis. We're looking into this.
Our Office can really make use of "shared folders" Somethig we are looking forfward to...
hoestly.. this is amuch needed feature for seamless integration of docs.

I just subscribed my company to use Zoho Docs and went through and created a folder structure in my folders only to find out that I cannot share the folder with the rest of my users.
I am trying out creating groups to represent a folder structure, but this is not ideal, will see how this works for a month to decide if we will continue with the system, if anyone has an alternative i would appreciate any advice.
This feature would make Zoho Docs a fit for my company. When might this be added? October? Q1 2009?
Silence from Zoho on this feature request for 3 months now. I am yet another user that would really appreciate many of the benefits described by previous contributors to this thread.

Think of a sharepoint, you can't use it the way it works now for things like that!

Agreed. this is make or break for using this Zoho component at my company.
One more vote for folder sharing... FWIW, this is the major missing piece that would keep us from purchasing this for business use.

One possible way to share folders in Zoho: store the folder on box.net and link to zoho. Right clicking on documents in box.net will give you the option to open them using zoho.
I was only planning to switch my large nfp organisation over to zoho b/c i'd heard that unlike google docs, zoho offers shared folders. so ... no folder sharing, no date of when it will appear, then... no switch.
and another non-IT person left scratching their head as to why these extremely basic systems are overlooked in the design phase...
lemme know if you end up making the switch to folder sharing...
and what about the ability to to create folders in the groups..?
I was going to build my new law firm on zoho docs, but no use. Can't share folders so the share documents feature is basically useless. It would be a lot easier to be able to just add folders to use groups and then stick stuff in there. THAT would make this app very useful. As is, it's it's too aimed at personal use, without thinking about business use.
I'm doing a prototype for my organization. This shared folder issue is turning into a big stumbling block. Quite a shame as everything else has worked really nicely. Hopefully something can be added soon.

I was checking back on this after 8 months,
honestly guys, folder sharing --> we need it.
Many of my clients are switching to dropbox,
coz, all we need to do is save a copy in the dropbox folder

Agreed, this is a must have for nearly all businesses with more than two or three employees. I think this would be a major coup. Get it implemented and nearly all the objections for true SMBs to migrate to zoho are mitigated with training. But no sharing makes saying no to a switch VERY easy. Is there any ETA on this? I saw the update on the 11th stating it is in progress but are we talking a week a month etc?

Add my vote as well for this feature - I just posted a note about bulk importing of files (NOT uploading), saying not having this is a show stopper - but really, not having shared folders is part of the same problem when moving lots of files.
Like other people, this is why I started to move from Google Docs . . and then stopped . .

This is becoming more important to us on a daily basis. When we are fully transitioned we will be producing ~200 files daily. Sharing them will work, but having to search on every file is going to be unwieldy at best, and a a b****h at worst. Being able to insert a link field into CRM and Creator to a folder url would work unbelievably smoothly and decrease our time investment on cases significantly - more money for us, more money for you. I notice that back on the 5th you said that you were working on it. If you could give me an idea time-wise of when this will become available it would be great. Also, if it is going to be longer, could you give me a suggestion as to which service you would recommend - Humyo, Box, or Digital Bucket. Standardizing on Zoho is our goal, and I would much rather be paying you guys for storage than using an outside application.
Please let me know as soon as possible so I can set up our processes.

We need this in our NGO - tons of documents and users..
After a terrible experience with trying to get the Google Docs API working, I found that zoho was such a relief... However, sharing capabilities are far too limited to meet my needs, as I am sharing 100's of documents with multiple editors.
- I can't seem to unshare multiple documents with a single click
- I can't seem to share folders
Additionally, the search option is not very usefull. After I perform a search and the matching documents are returned, I want to be able to select one or multiple of them and perform share/unshare actions.
This is really keeping me from using Zoho as a professional...
I will switch from google apps to zoho docs if a shared folder function was available. Big drawback, looking for that complete solution.
Any update on this? Would love to see this feature.

just started our own NPO and an OnlineMediaCompany
had a look and tested similar services on the net, favoured dropbox (unfortunately missing other important features) and basecamp... finally decided to use ZOHO, started building up a structure for the companies, sadly finding out today that no folder-sharing is available. glad to hear you guys are implementing this! thumbs up!!!
any idea if this is going to be in september?
we are so busy that we might use the dropbox solution for the time beeing, but if you say the feature is coming soon, we could wait a couple of weeks...

another feature missing (maybe i couldnt find it) is "publishing on the web", like googledocs does... would be even better with option to set password for users to view the published page/sheet/doc etc...
i know you can do this for a page/book in notebook, but without a password-protection... i think this feature would come in very handy also for single sheets / docs over zoho business!
It's been well past the time line that this feature was suppose to be resolved. Can we get another estimate when this feature will be added???
Is true document sharing available yet? Others in our organization are having problems editing a doc once shared? Is this the problem everyone is talking about?

This really is such a fundamental piece of functionality. If I had reaslised that this wasn't available then I would never have signed up. Right now for me Zoho Docs is pretty much useless without this capability - really annoying.
Please can someone at Zoho confirm when this functionality is due to be released? Just look at the number of hits this thread gets, surely someone at Zoho has to be reading this?!?

same here, been watching this thread for long time, i use zoho for my small consulting biz but not moving clients onto zoho because of this. soon hopefully. Other than that I really like my zoho. You get folder shares going and you will get business users not just us nerds.

Today we had updated the workspace feature., where user can create folder (workspace) and invite others to view, edit the files based on the permission set by the workspace owner..
List of other features included in this update:
- check-in/check-out functionality for uploaded files
- view/edit shared uploaded documents
- Review and Comment the shared documents
Please try creating workspace and provide your feedback.

Is there a way to give permissions to allow my assistant to delete files from workspace when no longer needed? I need that option!

The sharing feature seems to work fine between users with the "workspace" folders. This solves that problem.
My only concern now is that these workspace folders can only be one level deep, there is no options to create a folder within the workspace folder. Some people, including myself, have quite a lot of documents that need sharing. It would be much more efficiant if the workspaces allowed sub folders to sort the docs. To keep it simple the subfolders could just use same permissions as parent folder.

Also, in the workspace I noticed that only the creator of that workspace is able to upload files into that workspace. Those who share the workspace can view, edit, etc. depending on their permission but they can not upload their own files. Is there a way to open the workspace so other users can upload files into that same workspace?

Currently, only owner of the workspace can add/upload the document. We do have plan to provide the settings, where workspace owner can configure whether the shared user can add files to workspace or not. We will enhance this feature and release it asap.

just made some tests:
adding workspace, then trying to delete it, i get the message:
Oops. the system encountered a problem.. please contact support@zohodocs.com
error appears only if trying to delete it from the right all-workspaces-view "the red X"
error doesnt appear on "rightcklick-delete-on-the-workspace"
thus in OPERAbrowser you cannot delete a folder or workspace at all, because right-clicking doesnt work...

there is an extra option for sharing folders. dont confuse "My folders" with "My workspace"!!! only those in "Workspace" are shareable!
also, is there a possibility for you guys to add "infos or popup-infos" or some other kind of "alert" or "messaging" if there are "new features" or "made changes upon requests" added to zoho? so that we all know that something has been implemented upon entering/loging into our account?

if i upload docs/images into "my workspace" then they also appear inside "my folders"... is this really necessary?
it is kind of irritating, especially when uploading many docs into "my workspace", then deleting some one day, uploading new ones... entering "my folders" i find them all inside there, even the deleted ones...

We have listed the document in "My Folder" section, since many user wants to delete the document from the workspace and not completely delete from Zoho Docs. However, We will look into it and enhance the same.
If the document is deleted from "Trash" folder. It will get deleted completely and wont be shown anywhere.

I have recently set up a small design business on Zoho and I'm testing the service for a larger company that are interested in switching. A few things have caught my attention:
1. There are lots of very useful applications, ideal for a start up business. The meeting application is excellent.
2. There are bugs in just about every application.
3. The document storage and sharing capabilities is a real limitation:

Unable to create folders within Groups

Unable to create sub-folders within a Workspace or Groups

Unable to upload within non-owned Workspace
-
Unable to create sub-folders within Projects
-
A complicated document storage process; do I use Groups, Workspace or use Projects.
4. Unable to share calendars.
5. A standard approach to your queeries on the forum:
"Thank you for your kind words, we are working on it and it will be coming soon...Please be patient"
Despite a lot of issues if Zoho gets the calendar sharing and document sharing functions right then I would choose Zoho ahead of Google Apps and Salesforce.
Is it just me, or Workspaces can only be shared with individual named users and not with entire groups?
So currently I have:
- individual files can be shared (but only one by one) with groups

Hi. Total newbie here, but workspace doesn't seem to allow the unzip action, nor can I find a way to move/copy folders to workspace after having unzipped into my folders. I think there must be a way... it would seem odd that the fix to share folders wouln't allow uploading or moving of folders...? Anyway, love zoho, but this ability is pretty crucial for me. Can someone out there please tell me how to get folders into my workspaces?

Currently, Unzip and move entire folder to Workspace functionality is not available. Will provide this asap. However, You can move multiple files to Workspace at a time. To move multiple files to workspace, select multiple files and right-click and select "Add to Workspace" in the displayed menu.

Is there anyway to download multiple files from a workspace at once? I work for a Realtor and she shares the pics and then I pic them up to market them. However it is quite tedious to do one at a time. Why can't I check them all and save as to my computer? I am listed as a Collaborator.
